8th International Family & Professional Conference

Every two years, the LGS Foundation organizes a comprehensive multi-day educational meeting. The conference brings together more than 350 LGS family members and epilepsy professionals from around the world to better understand the causes, treatments, and how to live with LGS. Talks cover everything from treatment options to services and include information on improving quality of life, accessing resources, and much more. In non-conference years, the LGS Foundation hosts the LGS Research Meeting of the Minds Conference for professionals and families and focuses on LGS research.

*New this Year – Sib Camp*

This new camp offers planned onsite activities for siblings only on Friday and Saturday.
The camp program is designed especially for siblings of a child with LGS, whose parent(s) are registered to attend the conference.  Children must be at least 5 years old and potty trained to attend camp. Siblings 16+ can volunteer to participate as a team leader for the camp. The $50 cost per sibling for our two day camp includes all activities, as well as breakfast, lunch and snacks.

There will also be an onsite activity room for children and adults with LGS and their caregivers. No childcare will be provided in that room, so a caregiver must be present with the LGS patient at all times.

The health and safety of all attendees at the 2022 LGS Foundation Conference remains our top priority. Between now and the event, we will be closely monitoring the venue’s COVID policies, government mandates and policy changes, Centers for Disease Control and Prevention (CDC) guidelines, and public health advancements. As information pertaining to the virus continues to develop, we will adjust our approach as needed and keep you up to date with new developments to ensure a coordinated effort and a safe environment for all LGS Foundation conference attendees.  
An inherent risk of exposure to COVID-19 exists in any public place where people are present. COVID-19 is an extremely contagious disease that can lead to severe illness and death. According to the CDC, senior citizens and individuals with underlying medical conditions are especially vulnerable. By attending the 2022 LGS Foundation Conference, you voluntarily assume all risks related to exposure to COVID-19 and agree to abide by our COVID policies for the event. Because we serve a vulnerable medical population, in some situations our COVID policies may be more restrictive than local mandates or current guidelines from the CDC. We strongly encourage attendees to be vaccinated and receive their booster shot when applicable before attending the conference. Help us keep each other healthy.
We strongly encourage individuals to be tested for COVID prior to traveling to the LGS Foundation Conference. Individuals who test positive should stay home and cancel your registration. Registration fees will be fully refunded. During your attendance at the LGS Foundation Conference in Texas, you will be required to support our COVID-19 Safety Measures, and strictly follow our COVID-19 policies and procedures. These COVID-19 policies and procedures may include but are not limited to personal sanitization, mandatory face covering, and social distancing. These policies and procedures may be modified at any time in advance of or during the LGS Foundation Conference.
If the COVID situation dramatically worsens, we may decide to cancel and reschedule the conference on or before May 13th. In the event we need to reschedule, all conference registration fees will be fully refunded. While most airlines have loosened their cancellation or rescheduling policies, be sure to consider the possibility of conference cancellation when making your travel plans.

AS OF JANUARY 17, 2022 THESE POLICIES INCLUDE:
Face Coverings
Masks must be worn at all times except while actively eating or drinking in any area that is considered LGS Foundation Conference space. LGS Foundation will require all attendees, vendors, exhibitors, and speakers – regardless of vaccination status – over the age of 2 to wear a medical grade mask (such as a surgical mask or KN95 mask) at all indoor conference sessions, Super Siblings Camp activities, and/or evening social activities. Masks must cover the nose and mouth at all times except while actively eating or drinking. Cloth masks, gaiters, or bandanas will not be accepted as facial coverings for the LGS Foundation Conference. Anyone who ignores the policy will be asked to leave the conference and will not be eligible for a refund of their registration costs. Medical masks will be available at no cost at the registration table throughout the event.
Hand Sanitizer Stations
We will have hand washing facilities and/or sanitizing systems easily accessible to everyone throughout the event. Personal size hand sanitizers will also be included with each registration packet.
Spacing Measures
Social distancing practices will be implemented according to all current venue, local, and state guidelines.
Contact Policy
While we encourage all attendees to minimize their physical contact with others at the conference, LGS Foundation will provide colored ribbons to help attendees communicate their level of comfort in interacting with one another.

Health and Safety Signage
Signage will be placed to remind all attendees to social distance and frequently wash and sanitize their hands.
On Site Screening
Conference attendees, exhibitors, vendors, and speakers will be required to participate in a wellness check before they receive their event badge. Everyone will receive a temperature scan and be asked the following questions before they receive their badge and entry into the conference:
  • In the past 24 hours, have you experienced COVID-19 symptoms? (Fever or signs or symptoms of a respiratory infection, such as cough, shortness of breath or sore throat.)
  • Have you or people whom you have close contact with, like someone who lives in your house, a relative, a friend, or a co-worker
    • tested positive for COVID-19 in the last 14 days or
    • had any COVID-19 symptoms in the last 14 days?
Monitoring after Conference
We ask attendees to self-monitor for signs and symptoms of COVID-19 and contact us if they experience symptoms of COVID-19 within 10 days after participating in the conference. Registered attendees will be notified of any potential event exposure. 
COVID Code of Conduct
To mitigate the spread of COVID-19, LGS Foundation requires all participants to adhere to this code of conduct for their participation as an attendee of the 2022 LGS Foundation Conference.
Before Leaving Home
  • Follow relevant guidance provided by the WHO, CDC, and/or your local health authority regarding exposure, testing, and quarantine related to COVID-19.
  • Adhere to government-issued travel restrictions and guidance issued by the WHO, CDC, and/or the local health authority in the regions you will be traveling to and from.
  • Stay home if you feel unwell. 
  • Stay home if you are knowingly exposed to COVID-19, develop symptoms of COVID-19, or test positive for COVID-19 within 14 days prior to the event. 
Onsite During the Event
  • Follow guidance from the local health authority for everyday preventive actions to help prevent the spread of viruses including:
  • Wash hands often with soap and water for at least 20 seconds, or an alcohol-based sanitizer with at least 60% alcohol
  • Avoid touching eyes, nose, and mouth with unwashed hands
  • Cover your nose and mouth when coughing or sneezing. Throw unused tissues in the trash.
  • Clean and disinfect frequently touched objects and surfaces using a regular household cleaning spray or wipes.
  • Wear a properly fitting, medical mask during conference sessions and events. Face masks will cover from the bridge of your nose to past your chin. 
  • Adhere to physical distance protocols put in place by LGS Foundation, the venue, or local health authorities.
If, at any time, during the conference you feel unwell, learn that you have been exposed to COVID-19 at or less than 14 days prior to the event, develop symptoms of COVID-19, or test positive for COVID-19, do not attend the meeting. Please remain in your hotel room, or at home, and seek medical care.
Adherence to onsite guidelines in place at the time of event is required. Anyone not adhering to the guidelines will be asked to leave or be removed from the event premises and will not be eligible for a refund on their registration costs.
After the Event
If you learn that you have been exposed to COVID-19 at the event, were exposed less than 14 days prior to the event, or develop symptoms of COVID-19, or test positive for COVID-19 up to 10 days after returning home, please contact LGS Foundation at Kathy@lgsfoundation.org so that we can alert conference attendees of potential exposure anonymously.
TERMS AND CONDITIONS: Your personal data will be collected to manage your registration and participation in connection with the Annual Conference and will be shared with the LGS Foundation and with MedLogix Communications, who are coordinating the logistics for the conference. Your personal information will not be shared in any other way. The LGS Foundation never sells your data.
AUDIO/VISUAL WAIVER: By registering for the LGS Foundation Conference, all participants, including speakers and attendees, agree to be photographed, filmed, recorded, or videotaped by an LGS Foundation representative and other business partners working with LGS Foundation. Participation in or attendance at this meeting constitutes the voluntary consent of the participant or attendee to: (a) be photographed, filmed, recorded, or videotaped by a LGS Foundation representative and other business partners working with LGS Foundation and (b) the reproduction, distribution, and use of all such photographs, digital images, films, voices, recordings, actions, names, and likenesses for any lawful purpose, including for use in publications, brochures, advertisements, promotional and marketing materials, and all other media venues including the World Wide Web, all without further notice or compensation to participant or attendee. I acknowledge that I may be photographed, filmed, or recorded during the meeting and that I have appropriate permission to share any information that I disclose during the meeting. I hereby release to LGS Foundation and other business partners working with LGS Foundation all proprietary rights and copyrights in all such photographs, digital images, voices, recordings, actions, films, and likenesses (including negatives, positives, and prints) which shall be and remain the property of LGS Foundation and other business partners working with LGS Foundation. I understand that these materials may be used in various publications, public affairs releases, recruitment materials, or for other related endeavors. CODE OF CONDUCT: All attendees agree to abide by the LGS Foundation's Community Participation Guidelines and behave appropriately as a member of the LGS Foundation community.
ACKNOWLEDGEMENT OF UNDERSTANDING/SEVERABILITY/JURISDICTION: I further acknowledge that by completing the registration for the conference I have read this liability waiver, assumption of risk and indemnification agreement and fully understand its terms. I freely and knowingly assume the risk and waive my rights concerning liability as described above and, I am agreeing to a complete and unconditional release of all liability. If any portion of this agreement is held invalid, it is agreed that the balance shall, notwithstanding, continue in full legal force and effect.

How often and where is the conference held?
New in 2022! LGSF will host its Family & Professional Conference in-person every 2 years. The location for our 2022 event will be the Gaylord Texan Resort and Convention Center, 1501 Gaylord Trail, Grapevine, Texas. Our last in-person conference was held in 2019 in Seattle, Washington, with a virtual conference held in 2021.
How do I book Hotel Accommodations if I am not a scholarship recipient?
The discounted group rate at the Gaylord Texan Resort & Convention Center for conference attendees is $189 for Traditional King and $199 for Traditional 2 Queens, plus $20 resort fee and prevailing taxes. Room reservations and rates are available on a first-come, first-served basis until May 25, 2022, or until the room block is sold out, whichever comes first. After that date, reservation requests will be based on the hotel’s prevailing rate. All reservations must be guaranteed with a credit card.
Is onsite registration available?
Onsite registration IS NOT available. All attendees must register for the event by May 24, 2022 to attend in person. 
I am unable to attend in person. How do I register for virtual sessions?
Virtual registration will open on Monday, February 7, 2022, and remain open until June 15, 2022. Please register online www.lgsfoundation.org/lgs-conference
What is included in my registration fee?
Your registration fee includes admission to all sessions, breakfast and lunch each day, Friday evening Welcome reception and our Saturday evening Dinner Dance celebration. 
What is the cancellation policy?
Cancellation requests must be submitted in writing to Kathy Leavens at kathy@lgsfoundation.orgCancellation requests received on or before May 1, 2022  are refundable, subject to a $50 administrative fee.
Cancellation requests received after May 1, 2022 , are nonrefundable. Exceptions may be made for family emergencies and must be submitted via email to Kathy Leavens at kathy@lgsfoundation.org
No-shows at the 2022 Family & Professional Conference are not eligible for a refund.
If you cancel and are entitled to a refund, you can expect the refund within 30 days. All refunds will be issued back to the original payment type.
Are scholarships available?
Yes, scholarships will open Wednesday, January 5, 2022, and remain open until Monday, January 26, 2022. Scholarship applicants will be notified via email no later than Wednesday, February 3, 2022.
When should I arrive?
The conference kicks off with sessions beginning Friday morning, June 17th at 9 am. Breakfast will be available beginning at 8 am. The full agenda will be available on our website at www.lgsfoundation.org/lgs-family-conference
Is there onsite patient care and/or childcare available?
An Activity room and a Quiet room will be available for families and patients with LGS at no cost, but they must have a caregiver in attendance with them at all times. No nursing staff or aides will be provided, so please plan accordingly for your child’s care. The Activity room will include activities and crafts for LGS patients and family use. The Quiet Room is a space provided for comfortable recovery from seizure activity. Or to simply find a quiet peaceful moment. Sessions will be live-streamed into both the Activity room and Quiet room so you will not miss session content.
What is the dress code?
While there is no set dress code, we suggest business casual for the sessions. We invite you to dress comfortably. You may want to dress in layers; conference centers often range from drafty to stuffy. June in Texas has an average high of 92 degrees and an average low of 74 degrees.
Where do I pick up my registration packet? 
You can find the LGS registration area in the new Vineyard Tower, Second level, just outside the Tate ballroom. You can check-in and pick up your registration packet at any of these times:
  • Thursday, June 16, from 12:00 pm - 7:00 pm  (change to 4 to 8pm)
  • Friday, June 17, from 7:30 am-8:45 am   (change to 7a to 9a)
  • Saturday, June 18, from 7:30 am-8:45 am (change to 7a to 9a)
Be sure to give yourself enough time to register and pick up your conference packet and badge before attending your first session. We suggest you wear your badge for entry into the sessions and the evening social events. 
Are any of my costs tax-deductible?
Based on 2020 federal tax regulations, which may be different for 2022, you can deduct the cost of registration and travel to the 2022 LGS Family & Professional Conference if the conference concerns the chronic illness of you, your spouse or your dependent. The deduction applies ONLY to registration and travel; it does NOT apply to meals or hotel stay. 
You can only deduct these costs as medical expenses if you itemize your deductions by filing a Schedule A on your tax return, and you can only deduct the portion of unreimbursed medical/dental expenses that add up to being more than 7.5% of your AGI (Adjusted Gross Income) for the year. (Example: Your adjusted gross income for 2022 is $100,000; you spent $1,000 on registration and transportation for the 2022 LGS Family & Professional Conference and had $5,000 of other unreimbursed medical expenses. You add $1,000 to $5,000 for a total of $6,000, which is less than 7.5% of your $100,000 adjusted gross income. You would not qualify. However, if your unreimbursed medical expenses were $8,000 plus $1,000 for conference registration and travel, that would make a total of $9,000 of unreimbursed medical expenses. Since $9,000 is greater than $7,500, you would qualify for deducting the amount over 7.5% on your tax return – in this case $1,500 would be deductible.)

Here are some suggestions to make your trip less stressful:
  1. Make sure you have your current health insurance card/information in case of any medical emergencies. Review your policy regarding emergency care when traveling. Bring a hard copy of your Seizure Action Plan.
  2. Place medications in your carry-on bag and make sure to bring an extra week’s worth to be safe.
  3. Pack sunscreen for time at the pool!
  4. The weather in Grapevine TX can average from a high of 92 to a low of 74 during the month of June
